Situated on oceanfront Collins Avenue in the heart of Millionaire's Row, Fontainebleau Miami Beach is one of the most historically and architecturally significant hotels on Miami Beach. Opened in 1954 and designed by Morris Lapidus, it was the most luxurious hotel on Miami Beach, and is thought to be the most significant building of Lapidus' career.

Responsibilities

Responsible for assisting with day to day operations of two condominium-hotels at the Fontainebleau Miami Beach.  

 
Examples of Duties, includes but is not limited to the following: 
  1. Assisting with mailing to Unit Owners/vendors for Association/Hotel Operator - stuffing and labeling of envelopes, mail merges (meeting notices, communications from Board of Directors, orientation guides, rental contract copies, maintenance service agreement copies, follow up letters, condominium documents, forms).
  2. Putting together orientation guides for new/prospective unit owners, copying, e-mailing and/or faxing forms as needed.
  3. Assistance with sorting, faxing and filing updated certificates of insurance annually/as needed/ongoing.
  4. Obtaining current addresses for returned mail/contacting owners/owner representatives for new contact information/forwarding addresses. Inputting new information into Opera (PMS) and owners lists as needed
  5. Maintaining the owner ID account and pictures up-to-date
  6. Copying of payment for forms to Condo Accounting/Finance Department (EFT Form, ACH Forms, Credit Card Forms).
  7. Assisting with Credit Card inquiries from Finance Department as needed.
  8. Inputting Owner Benefit Application and filing them accordingly.
  9. Communicating with owners/representative as needed on how to complete relevant forms, where to send information, based on current projects, ongoing items.
  10. Schedule of unit showing as needed for inspectors, realtors based on leadership input and unit availability.
  11. Screening calls and check voicemails
  12. General filing, faxing copying of incoming/out coming communications.

Qualifications

-     Strong customer service background, preferably in Condo-Hotel and high-end Condominiums

-     Knowledge and interest in understanding condominium-hotel operations, owner services and hospitality

-     Proven ability to be organized, follow through and complete assigned responsibilities effectively

-     Ability to prioritize and perform duties based on an understanding departmental and company goals

-     Understanding computers, applications with a strong working knowledge of, Windows, MS Word, Outlook, Excel, Opera, HOTSOS, Open Table and the internet.

-     Professional and positive attitude with ability to perform and understand all tasks related with each Association

-     Ability to work independently or with a group within a fast paced environment

-     Good decision making ability and strong problem solving skills
